NEWSLETTER GUIDELINES

- Submit information in a word document only. Do not send in the body of an e-mail. Information is due the 1st of every month. See example of a newsletter submitted by Stephens County.
- Name your word document with your county name and month. Example: Morgan October07.doc
- The text should ONLY be TIMES NEW ROMAN with 12pt. font – not Arial, Comic Sans, Verdana, etc.
- Graphics & pictures should not be included in the word document. Please send them as an attachment with the word document. In the document, write “insert name of pic here” so I will know where to place the pictures or graphics. Make sure you name the picture exactly the same as you put it in the document. For example: if you name the pic “bookworm 5”, then in the document put “insert bookworm 5 pic here” not “insert book pic” or any other abbreviation. With so many counties, it would be very easy for more than one person to have a similar pic, so please be specific.
- Please do not include text boxes within the word document.
- Please do not submit pdfs.
- Do not center your text or have information in multiple columns.
- Do not use headers and/or footers on your word documents. You do not need to put your county name, dates, or things like “Morgan County CAT Newsletter for February 2008” at the top of your document. It is very difficult to remove these, and since they are not needed, we do have to remove them or take the time to create a new document yourself.
- If you find information from the internet, create a word document by retyping the information yourself. If you copy & paste from the internet, typically there are hidden text boxes and they do not place well in our newsletter program.
- Do not put large spaces between sections or separate with things like “**************” – we have limited space and have to remove them anyway.
- Please do not use any borders of any kind.
- Please do not use tables within the document.
**I know all of you want to send a document that is “pretty” but because of the limited space and the way things format into InDesign, we need it to be just simple and plain because more than likely we will have to “unpretty” it when formatting.
**The time all of you put into submitting info each month is greatly appreciated! I know this seems like a lot of do’s and don’ts, but please understand that we are not in any way trying to make it more difficult for you. Right now it takes the better part of a week to format all of the newsletters and send them to the printer. As we continue to grow, we cannot allow the formatting of newsletters to become a full time job with all of the other tasks we have. This is meant to serve as only a tool to make your job and ours easier. If at anytime, you have any questions at all, please do not hesitate to call us.
